The client, a regional construction and real-estate developer, was running more than twenty active sites on disconnected tools: master schedules in spreadsheets, subcontractor coordination over phone calls and email threads, and material orders reconciled against the ERP by hand at month end. Site progress lived in photo folders on personal phones, and every handover between office and site was a chance for information to go missing.
The cost was measurable: idle crews waiting on materials, double-booked subcontractors, and project managers spending most of their week reconstructing the state of their sites instead of steering them.
Vendenis designed and delivered a project-management and site-operations platform as the single system of record for every project. Dependency-aware scheduling replaces the spreadsheets; a coordination workspace gives each subcontractor firm its own scoped view of tasks, documents and deadlines; material tracking follows every order from requisition to on-site delivery; and foremen capture progress, photos and daily logs through a mobile app that works without coverage and syncs when the connection returns.
A team of five engineers and one product designer took the platform from kickoff to the first live sites in 14 weeks, then rolled it out in phases across the full portfolio.
The platform is built as a modular web application over a single relational core, with an integration layer that keeps the client's existing ERP as the commercial system of record while the platform owns day-to-day operations.
Within two quarters of full rollout, coordination errors — missed handovers, double bookings, deliveries to the wrong site — were down 38 percent, and average project cycles shortened by 17 percent. Project managers now open one system in the morning instead of six.
The platform has become the operational backbone of the business, running at 99.9 percent availability, and the roadmap continues with procurement analytics and capacity planning.
